KMD has bought access to a unique processing tool from Exformatics. Together with the IT-University of Copenhagen, Exformatics has developed a software technology that KMD now will use to optimize case handling at KMD Workzone, which is used in 70 percent of the governments administrations.
KMD and Exformatics have recently entered a license agreement, meaning that in the future KMD will integrate Dynamic Condition Response (DCR) into its ECM-system. Specifically, KMD will use DCR to solve one of today’s biggest challenges in regards to case handling systems: That knowledge work in actual fact is not sufficiently it-supported.
By using DCR, KMD can optimize KMD Workzone, which is their Enterprise Content Management and ECM-solution that today is used by 55 public administrations with 60.000 users.
“KMD has many years of experience with public digitalization. One of the major problems with today’s case management systems is that they don’t properly support knowledge work. All ECM-systems on the market today are built upon predefined workflows, which do not necessarily consider the manner of how knowledge work is actually carried out. With the help of Exformatics’ technology, we can build dynamic and flexible workflows directly into our solution,”says Jakob Brix, Head of Product Management and Development for KMD WorkZone.
Changeability is an important factor in the public sector. When the world is constantly changing, the case handling systems should be changeable also, according to Jakob Brix:
“The public sector is in need of systems which are capable of continuously adjusting themselves, in relation to new rules and laws that affect work procedure. Otherwise the systems can quickly become a hindrance rather than a means of support. With DCR-technology, we’re provided with a system which makes it easy to fulfil the knowledge worker’s desire of flexibility. Furthermore, we can help by ensuring that they’re always able to live up to any changes in legislation- and compliance requirements, which come from the public sector. And it was also the flexibility which was one of the decisive factors regarding the choice of Exformatics’ DCR-solution.”

THE NEXT GENERATION OF ECM-SYSTEMS: FROM PRINTED ROUTES TO GPS-MANAGED KNOWLEDGE WORK
“The best comparison to today’s workflow-solutions would be the equivalent to printing a route description on paper, if you were to drive from Copenhagen to Berlin. It works fine, as long as you don’t deviate from the route. On the other hand, as soon as unforeseen obstacles occur or you simply wish to choose a different route, you’re on your own without any help or support. With DCR-technology you receive the dynamic and flexible GPS-control directly into the IT-system,” explains Morten Marquard.
“In the new system, employee’s will be able to choose which tasks they want to work with, and once they’ve clicked on “finished”, the system will alter the process automatically and show which tasks are left. At the same time, it becomes very easy to follow the progress of different cases and see which assignments are unfinished – including cases and tasks related to other colleagues. There’s no doubt that knowledge workers will become far more productive, and that it will provide a completely different type of leader- and management culture, by providing a better overview and more freedom for the individual employee,” explains Jakob Brix.
The first KMD-solution has already been sold to the university of Aarhus. The dynamic workflows that are created via DCR-technology will be offered to KMD’s customers, as an addition to their pre-existing solution.
THE WORLD IS CHANGING CONSTANTLY
Other than ECM and other case management solutions, Exformatics expects that the DCR-technology will be applied to many different business processes.
“We have very great expectations for the DCR-technology. The world is changing constantly and by using this technology, it will become both possible and simple to change existing it-systems that support processes in a company,” says Morten Marquard.
